1 Overview
Processed via ICICI Bank Payment GatewayAll online payments collected by Haldia Institute of Technology — including admission fees, semester/tuition fees, hostel fees, examination fees, and miscellaneous charges — are processed through the ICICI Bank payment gateway ("ICICI Orange Payment Gateway"). Refunds, where applicable, are issued back to the original payment instrument (card/bank account/UPI ID) used for the transaction, through the same gateway.
2 Failed / Duplicate Transactions
If an amount is debited from your account but the transaction shows as "failed" or "pending" on our website, or if the same fee is accidentally paid twice:
- Such amounts are auto-reconciled and reversed to the original payment source by ICICI Bank's gateway, typically within 5–7 working days.
- If the amount is not reversed automatically within this window, please contact the accounts office (see below) with the transaction ID/UTR number, date, and amount.
- Do not raise a chargeback or dispute with your bank before contacting the Institute, as this may delay resolution.
3 Refund Eligibility
Refunds may be considered in the following cases, subject to the Institute's admission and fee rules in force at the time:
- Excess or duplicate payment made in error.
- Payment made for a seat/service that was not eventually allotted or made available.
- Withdrawal of admission within the timeline and as per the refund slab prescribed by the State/AICTE/University admission guidelines applicable for that academic year.
4 Non-Refundable Payments
The following payments are generally non-refundable once successfully processed, except where required by applicable regulatory guidelines:
- Application/registration fee paid for admission enquiry or counselling.
- Examination fee, once the examination form has been processed.
- Caution deposit or service charges already utilized.
- Any convenience/gateway fee charged separately by the payment gateway, if applicable.
5 Refund Timeline

Actual credit timelines may vary slightly depending on your bank or card-issuing network after the refund is initiated from ICICI Bank's gateway.
6 How to Request a Refund
To request a refund, please write to the accounts office with the following details:
- Full name and student/applicant ID (if any)
- Transaction ID / UTR number and payment date
- Amount paid and the fee head it was paid against
- Reason for the refund request
7 Cancellation of Admission
Students wishing to cancel their admission must submit a written cancellation request to the Admissions Office. Refund of fees on cancellation, if any, will be governed by the prevailing refund rules notified by the Institute, AICTE, the affiliating University, and/or the State Government for that admission cycle.
